Job Summary
The Guelph Jazz Festival is seeking a motivated and detail-oriented Production Assistant to support our General Director, Artistic Director, and festival team in both administrative and marketing tasks. This role will play a key part in coordinating artist logistics—including contracts, travel, accommodations, hospitality, and technical needs—while also supporting artist communications and immigration paperwork. The Production Assistant will contribute to marketing and outreach by assisting with the social media campaign, creating promotional content, liaising with media, and helping track sponsor recognition. Additional responsibilities include supporting the Guelph Jazz Festival’s Around Town program, coordinating print and digital materials with our Graphic Designer, and assisting with the organization and distribution of festival marketing collateral.

This role offers an exciting opportunity to develop hands-on experience in arts administration, event coordination, artist relations, marketing, and communications in a dynamic, creative environment.

Skills

  • Adaptability: Ability to stay focused and meet goals when plans change, deadlines shift, or new tools are introduced. You’ll learn how to adjust quickly in a fast-paced festival environment.
  • Collaboration: Work closely with a small team to coordinate a large-scale event, supporting staff, artists, and volunteers to deliver a successful festival.
  • Communication: Strengthen your professional communication skills by writing emails, promotional content, and artist documents, and engaging with media and sponsors.
  • Creativity and Innovation: Use your creativity to design engaging marketing materials, contribute to new ideas for promotions, and problem-solve in dynamic situations.
  • Digital Skills: Gain hands-on experience with tools like Google Sheets, email marketing platforms, social media channels, and graphic design software to plan, track, and promote festival activities.
  • Problem-Solving: Develop your ability to troubleshoot logistical challenges, propose solutions, and make informed decisions during the planning and execution of the festival.
  • Reading and Writing: Improve your ability to understand and produce professional documents, from social media posts and newsletters to immigration letters and marketing content.

Work Conditions

The Production Assistant will work in a combination of their own remote workspace and the GJF shared office space at Silence in Guelph, using a personal computer. Flexible hours available. Scheduled hours of work will be flexible over the period between July and the end of the August.
